Making Desk Booking Easy

The Problem

People at AND Digital needed a better way to plan their office days. There was no simple way to check which desks were free or to reserve one ahead of time. Most just showed up hoping for a desk, which led to frustration, wasted trips, and teams not sitting together.

We designed a quick, intuitive booking experience so people could see available desks, pick their spot, and book it in seconds—no guesswork, no hassle.

Research & Insights

I spoke to employees and office staff to get to the root of the problem.

Here’s what they told me:

  • No way to see if desks were free before coming in.

  • Booking wasn’t possible, so people just guessed or stayed home.

  • Small offices meant desks were either overcrowded or empty.

  • Everyone wanted a quick, reliable way to check availability and book their spot without hassle.

The Goal

Make it easy for anyone to find and book a desk in seconds, from any device. No forms. No confusing steps. Just a fast, simple booking flow.

The Approach

I treated this like a consumer product.

  • Built a clear, visual map to show desk availability in real time.

  • Designed a flow so people could open the app, find a desk, and book it in under 10 seconds.

  • Made editing or cancelling a booking just as quick and easy.

  • Added email notifications and calendar sync so people wouldn’t forget.

Worked in focused sprints, testing with users and iterating quickly to keep the experience smooth and intuitive.

The Solution

We launched a clean, straightforward desk booking system that just worked:

  • Live floor plans showing real-time desk availability.

  • Book a desk with just a few taps.

  • Change or cancel bookings without hassle.

  • Helpful reminders sent by email, with calendar integration.
